Job Summary:
We are seeking a detail-oriented and organized Procurement Administrator to join our procurement team. The Procurement Administrator will support the procurement process by managing purchase orders, maintaining supplier relationships, and ensuring timely and accurate procurement activities. The ideal candidate will have strong administrative skills, excellent communication abilities, and a keen eye for detail.
Key Responsibilities:
- Purchase Order Management: Process purchase orders, track order status, and ensure timely delivery of goods and services.
- Supplier Coordination: Communicate with suppliers to confirm order details, negotiate terms, and resolve any issues that may arise.
- Documentation: Maintain accurate records of purchase orders, supplier contracts, and related documents. Ensure all procurement documents are up-to-date and compliant with company policies.
- Data Entry: Input and update procurement data into the company’s ERP system or procurement software.
- Inventory Management: Monitor inventory levels and assist in forecasting to prevent stockouts or overstock situations.
- Reporting: Prepare and analyze procurement reports, including spending analysis, supplier performance, and inventory levels.
- Compliance: Ensure that all procurement activities adhere to company policies, industry regulations, and legal requirements.
- Process Improvement: Identify opportunities to streamline procurement processes and suggest improvements to enhance efficiency.
Qualifications:
- Education: High school diploma or equivalent; associate’s or bachelor’s degree in business administration, supply chain management, or a related field is preferred.
- Experience: Previous experience in procurement, administrative support, or a related role is advantageous.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with procurement software (e.g., SAP, Oracle).
- Attention to detail and accuracy in data entry and documentation.
- Basic understanding of procurement processes and best practices.
